About Us

The General Assembly of 2018 is the first of the Annual GAs of the APO Philippines. It is organized by a Special Committee with mandate from the National Board of Trustees thru Board Resolution 1719-024. The Special Committee works with National Officers and the Regional Directors to carry out the General Assembly activities on 18-19 May 2018, including pre and post activities.

The T&T Editorial staff is in-charge of research work, writing, editing and lay-outing. They will seek the support of National President, Chair of the National Board of Trustees, National Executive Vice President, National Executive Secretary, National Executive Director/Executive Director, National Treasurer, National Legal Counsel, all RDs, and All Committee Chairpersons as content contributors either by providing data and information or drafting write ups.

The VPAA, VPFS, VPS will be requested by the T&T Editiorial staff to provide write ups on the respective Congresses.

The T&T GA2018 edition will be newspaper type 11x17 inches in size (Manila Standard/The Standard size) and in broadsheet format. It will be ready by middle of April 2018 so that production is completed by end of April 2018 and be ready first week of May 2018.

During the GA, the T&T Team will publish daily snippets online. Limited hard copies will be made available at the venue.

The Reg Team takes care of the online and onsite registration as well as the distribution of kits during the GA preliminaries. Hence, they will proactively campaign for registration of our sis and brods.

By first week of May 2018, the Reg Team should be able to organize the Complete Kit (bag, shirt, torch and trefoil, souvenir program, APO Scout Training Center post card, pen, notepad) of online registrants as well as the expected onsite registrants (without shirts).

The Reg Team will be the official source of duly-registered participants to be attached to the proceedings of the GA. Hence, they will submit their report within one week after the GA.


Venue and Accommodation (VA) Team

The VA Team will coordinate with Hotels/Lodging houses inside and outside of SBMA (Olongapo area) and work on discounted rates which will be available for the early bird registrants until 15 March 2018. The basic information on the establishments will be made available on the GA website and FB account to aid the online registrants in doing direct reservations.

Necessary control of persons per unit in such establishments will be arranged as well by the VA Team along with the availability of transportation from and to hotels/lodging houses to GA venue.

With promising venues in Subic, the VA Team will ensure at least pencil booking and final arrangements of our venue/s for the GA and other activities as needed in the outlined program.


Finance Team

By default, our National Treasurer will take care of the Financial control and monitoring of the GA finances. She will be backstopped by a National Office staff. The SpComm Chairperson will augment this Team thru other Solicitations on top of those in the Advertising section of the Souvenir Program (SP).

Assignments of bank account details, receipts and serialized solicitation letters will be coming from the NT, control document of which will be copied to the SpComm Chairperson.

During the actual GA, the NT will deputize sis/brods to issue receipts to onsite registrants in cooperation with the Registration Team. The NT will likewise receive remittance from the Advertising Editor of the SP, In-charge of the Concessionaires and SpComm Chairperson.

The conduct of the Program and Entertainment will cover the Individual Singing Contest, APO Got Talent, and Cheer Dance Competition. They will craft the mechanics for these competitions and will handle the actual presentations as indicated in the Program of Activities.

Human Security (HS) Team

The HS Team will provide the Marshalls and Emergency and First Aiders. The deployment of the aiders will be finalized in March 2018 when all the requests from the other sub-committees and in-charge of tasks have been received.

They will coordinate with the establishments and security forces in Subic to ensure the safety of the participants and guests.


In-Charge of Concessionaires

In-Charge

Concessionaires on food and dry goods such as APO souvenir items and the like, will be invited to sell during the Event. Specific arrangements will be agreed with them with the aim of sharing revenues with the regions for national service programs/projects that they implement.

To closely coordinate with the NT, the In-Charge will remit collections from concessionaires on agreed schedule by both.


Protocol & Executive Assistance (ProEA) Team

The ProEA Team will ensure that the members of the NEC/BOT will be properly guided on their schedules and roles particularly during the official activities. They will take charge of the official whereabouts of the members of the NEC/BOT.

They will also check with the members of the NEC/BOT as regards documents that are supposed to be submitted or provided to them.

In terms of documentation, the ProEA Team will provide papers coming from members of the NEC/BOT to the SpComm Chairperson for inclusion to the proceedings.


Online Resources and Management

This will cover the website, FB, Twitter and IG accounts. Select members of the other sub-committees will join this task since this will basically be online.

Once the website is up, the online team will be activated to optimize the social media as well as the regular SMS highway.


In-Charge of Lights and Sounds

The lights and sounds team will lay-out the technical specifications per discussion of the program with the Chairperson. They will then scout for possible service provider. From the scoping, they will determine the cost exposure from conservative to high-end estimates. Considering the cost estimates, they will propose possible sponsors/donors to shoulder or co-share the cost of the services.

During the ingress, actual event and egress, they will oversee the movements in order to ensure smooth delivery of services.

In-Charge of Service Day

True to the practice of rendering service activities prior to General Assemblies, a Service Day will be carried out on 17 May 2018.

The In-Charge will line up the activities consulting the concerned authorities in the area where the GA2018 will be held. Primarily, these are mangrove tree planting and medical/dental/circumcision. All services connected with the GA2018 will be undertaken in coordination with the In-Charge.
